Hostel Accommodation Booking Process
(i) Short-term Individual Booking (01 - 10 days)
These requests should be submitted at least 3 working days before arrival.
These are individual bookings (for self) based on invitation/recommendation from IIT Jodhpur. Participants would require (i) valid ID proof, (ii) an invitation letter/email containing the purpose and recommendation for the visit. Organisers of events where participants would be making individual bookings must share the information with the Office of Hostel Affairs in advance.
Step 1: Individuals open the Hostel Booking ERP Module and log in using OTP. First-time users would need to create their profile and upload a valid ID proof.
Step 2: After saving their profile, the user can open the Hostel Booking Tab and enter the required booking details, arrival/departure date and time, etc. An invitation letter/recommendation email must be attached at this stage, along with providing the invitee/advisor contact information.
The submitted booking requests will then be reviewed by the Office of Hostel Affairs and submitted for approval during working hours. When approved, the user would get an email notification to log in and check the status of their booking.
Step 3: If the booking request is approved, the user must then proceed to make an online payment via the payment gateways. Users are advised to save a screenshot of the payment confirmation.
Step 4: After payment verification, the Office of Hostel Affairs will send more information and caretaker contact details to the visitors.
(ii) Long Individual Bookings (11 - 186 days)
These requests should be submitted at least 3 working days before arrival.
Step 1: The inviting department/office/faculty members send a request to the Office of Hostel Affairs with justification by the host faculty/supervisor and recommendation of the Head of the Department (along with a copy of approval and recommendation of the visitor's parent institute, for internships).
Step 2: After confirmation from the Office of Hostel Affairs, the visitor/intern would proceed with the booking on the IIC App (Hostel Booking ERP Module) by uploading ID proof and invitation documents. Visitors would need to make their own arrangements based on the facilities available on campus.
Step 3: If the booking request is approved, the user must then proceed to make an online payment via the payment gateways. Users are advised to save a screenshot of the payment confirmation.
Step 4: After payment verification, the Office of Hostel Affairs will send more information and caretaker contact details to the visitors.
Note:
- Accommodation is available only on a double occupancy basis for interns.
- Bedding is not available for long bookings.
Group Bookings (Short or long)
While it is recommended that participants make their own self-booking on ERP, in cases where an office/department wishes to invite a group of members (sponsored through the department or any other funding agency), the option of group booking may be available. This option is to be exercised only if recommended by ADHA/DoSA/Director for selected cases.
Group bookings details should be sent via email to the Office of Hostel Affairs for review of availability and approval. The final number of participants/blocked rooms must be confirmed at least two working days before the arrival of participants. The department/organiser (s) must make the payment based on the final booked number of rooms, irrespective of actual occupancy. Reduced occupancy or non-occupancy would not be adjusted, refunded, or deducted from the final bill.
